SPEAKER PROGRAMS ANALYST - Promo Med Ed
Job Summary
The Program Analyst ensures that all expenses have been entered in for both the client and internal budget systems, and that certain transfers of value to HCPs are accurately and consistently calculated and recorded in the systems to comply with client-specific guidelines.
Essential Duties & Responsibilities
Ensure consulting fees, meal values, and reimbursed expenses are accurately calculated and entered into specific client portals and agency systems. Work with internal and external team members to obtain outstanding documents. Adhere to client’s consulting fee calculation and close out procedure. Identify data concerns and report them to the Team Lead.
Primary duties and responsibilities:
- Review SIS and client portal to ensure attendee count validates the venue receipt and per personspend
- Notify field rep/SBM if SIS is incomplete or attendee reconciliation is not accurate – recallprogram
- Calculate meal values using client requirements and calculator, confirm documentation meetsclient requirements, and enter all amounts in agency systems including client portal
- Coordinate with team to support upload of data from client portal into Cvent
- Calculate and log speaker and other consulting fees using Speaker Fee Calculator and, as needed,consulting contracts as reference
- Enter consulting fees into client portal for upload to Cvent
- Speaker expenses:
- Confirm required receipts have been submitted for reimbursed expenses
- Coordinate with primary speaker contact to request additional receipts as needed
- Confirm reimbursement request amounts are accurate and consistent with client travel policies
- Log expenses in client portal for upload to Cvent
- Notify Finance when it is appropriate to pay consulting fee and reimbursed expenses
- Address questions from compliance audit related to consulting fees, reimbursed expenses, and meal values
- Ensure that all required program documentation where applicable have been uploaded to the client portal
- Work with internal team members and departments to include:
- Speaker Programs Team Lead
- Speaker Programs Managers
- Assistant Speaker Programs Managers
- Finance
- Compliance
- Px Team Lead
- Px Meeting Planners
- Communication both written and verbal with both internal and external teams
Experience, Skills, and Qualifications
- Bachelors’s degree
- ANALYTICAL SKILLS – Ability to compare, contrast, and quality check work with a keen attention to detail. Can present numerical data orally, in writing, and/or through graphics.
- COMMUNICATION SKILLS – Superior interpersonal and client service skills, both written and verbal.
- COMPUTER SKILLS – Proficient in Microsoft Office including Word, Excel (especially spreadsheets), and Power Point, database, and reporting tools. Knowledge of CVENT, Salesforce, Pharmagin and Veeva is preferred.
- DECISION MAKING SKILLS – Ability to make clear, concise decisions and solve complex problems.
- ESTABLISHING AND MAINTAINING INTERPERSONAL RELATIONSHIPS – Establishing and maintaining an excellent relationship with internal stakeholders and the client is critical to the success of this position. Must be able to work with a team in a collaborative and supportive manner.
- ORGANIZATIONAL SKILLS – Ability to organize, plan, and prioritize work in a fast-paced work environment. Ability to achieve goals in a timely fashion.
