Senior Project Coordinator-Publication and Medical Affairs

Job Summary
Senior Project Coordinators play a pivotal role in ensuring the successful execution and delivery of a wide range of publication and medical affairs initiatives. This mid-level role goes beyond task management, focusing on leading internal workflows, proactively resolving project challenges, and ensuring team alignment throughout the project lifecycle. Deliverables may include abstracts, posters, manuscripts, publication plans, scientific platforms, slide decks, advisory boards, symposia, standard response documents, and congress booth materials.
Senior Project Coordinators demonstrate strong initiative, exceptional attention to detail, and a collaborative mindset. They are expected to be comfortable and confident navigating platforms such as SharePoint, SAP, Salesforce, publication databases, and Veeva Vault, while managing complex timelines and cross-functional communication in a fast-paced agency environment.
Essential Duties & Responsibilities
- Collaborating with cross-functional teams including medical, editorial, creative, and account leads to align and complete project objectives
- Managing project timelines and deliverables with minimal oversight
- Leading internal status meetings resulting on specific project assigned
- Leading client status meetings, if required by account needs
- Providing client-facing support with professionalism and responsiveness
- Maintaining publication records in publication management tools (e.g., iEnvision, PubsHub, PubStrat)
- Organizing and maintaining structured project documentation and shared folders
- Routing assigned projects through internal and external review cycles, including authors, clients, journals, and congresses
- Creating and adjusting timelines based on client priorities and internal input
- Supporting teams with advanced administrative and coordination tasks
- Facilitating distribution of project materials through email, SharePoint, and courier services
- Complying with internal processes and client SOPs
- Scheduling and confirming internal and external meetings with attention to detail
- Conducting journal and congress research and maintaining accurate reference records
- Synthesizing internet research into brief, actionable summaries
- Preparing congress “Hot Sheets” and reference materials
- Coordinating reference checks and copyright requests in collaboration with medical and library teams
- Maintaining and updating project trackers and status reports for internal and client use
- Supporting financial tasks such as job initiation, PO tracking, invoicing, and budget reconciliation
- Managing HCP contracting processes in alignment with client SOPs
- Responding professionally and promptly to internal and external communications
- Ensuring consistent attendance and arranging team coverage during planned absences
Experience, Skills, and Qualifications
- Bachelor’s degree in business, marketing, communications, life sciences, or a related field
- Minimum 2–4 years of experience in pharmaceutical, healthcare, or medical communications project coordination
- Demonstrated ability to independently manage multiple complex projects with competing priorities
- Strong written and verbal communication skills; client-facing experience preferred
- Proficiency in Microsoft 365 suite (Word, Excel, PowerPoint, Outlook, Teams)
- Experience with workflow and document management systems such as SharePoint, SAP, Salesforce, iEnvision, Veeva Vault preferred
- Ability to anticipate project needs and proactively resolve potential issues
- Confidence working cross-functionally with both internal teams and client stakeholders
- Strong organizational skills and a commitment to accuracy and detail
