Project Director, Events
- Reports to Senior Project Director or Account Director
Job Summary
A successful project director is responsible for overseeing the project management events team (Project Managers and Coordinators) to ensure their functions are streamlined for maximum utilization to support all project accounts. They are tasked with establishing and maintaining effective working relationships with peers, staff, suppliers, clients, healthcare professionals (HCPs), and other relevant groups associated with overall project/account delivery. They will also work as a liaison between the other internal departments and team members to provide proactive consultation throughout program development and execution.
Essential Duties & Responsibilities
- Manages 2-4+ accounts (dependent upon scope), overseeing 10-15+ concurrent projects, dependent upon scope
- Assumes responsibility for overall scope of each project, develops plans/timelines/budgets
- Anticipates client needs and proactively addresses those needs with the account director to ensure complete client satisfaction
- Ensures internal resources are aligned and working efficiently to deliver the highest quality work
- Develops and tracks progress of timelines, with support from team; overseeing multiple timelines at once and identifying cross over, pain points, synergies, etc.
- Knowledgeable about FDA, AMA, PhRMA Guidelines and State Regulations as they apply to all projects
- Delegates logistical meeting and congress management project tasks to team members best positioned to complete them
- Serves as a point of contact for client on specific project items and teams when shared services are in play to ensure team actions remain in synergy
- Performs quality control on the project throughout development to maintain the standards expected
- Ensures projects stay within budget, flagging any potential shifts out of scope the delivery of each project relative to budget, and the overall profitability of the account.
- Conducts project reconciliations in a timely fashion with Account Director
- Works closely with account team on monthly financial reporting for both internal and client-facing reporting including overall reconciliation status
- Oversees and quality checks all financial tracking completed by the manager and coordinator.
- Supports the account team in the development of proposals/budgets
- Works with Account Director to help select and hire appropriate staff, delegate as appropriate, train and develop Managers and Coordinators on a routine basis. Contributes to weekly team status calls and individual 1:1 calls with direct reports.
- PD will have direct reports and it will be important for the PD to utilize existing processes to train their team on project needs but also help foster development goals for each team member as appropriate
- Completes all relevant duties as assigned or requested including assisting other team members with any tasks that are needed. This could include assisting other team members with tasks when additional support is warranted, for example, management of food and beverage, congress association guidance, hotel management, sourcing guidance, attendee administration and other logistical meeting requirements.
Experience, Skills, and Qualifications
- Bachelor’s Degree, CMP or HMCC preferred
- Complete and comprehensive knowledge (5+ years) of professional meeting planning and logistical experience, preferably in the pharmaceutical space
- Experience in the management of direct reports
- Proficient software and computer skills (Microsoft Suite), CVENT and other meetings management software experience preferred
- Adept problem solving and decision-making skills
- Excellent organizational and multi-tasking skills
- Strong communication and interpersonal skills capable of maintaining strong relationships
- Attention to detail, even under pressure
- Exceptional time management skills with the ability to meet deadlines
- Detail-oriented, articulate, creative, optimistic and works easily with a variety of personalities and styles
- Ability to make effective decisions when presented with multiple options for how to progress with the project
Travel Requirements
- The ability to travel and meet with clients as required
- This is a full-time, remote position with the potential for up to 50% travel
