Job Summary
Our Coordinator, Operations and Administration will support the operations team within the Evidence and Access (E&A) practice, focusing primarily on supporting the completion of client vendor assessments and RFIs. As time allows, this position will also support the project delivery teams and will work alongside both the E&A Operations team and the E&A Central Project Management team to provide additional administrative support for staff.
Essential Duties & Responsibilities
- Liaising with stakeholders across the business and interacting with AI tools to facilitate the completion of Client Vendor Assessments (CVAs), Requests for Information (RFIs), and similar questionnaires provided by our clients.
- Updating tracking files and maintaining full visibility into due dates
- Scheduling and attending kick-off meetings
- Following up with internal subject matter experts
- Loading files into a client’s proprietary systems
- Updating internal resources to support the completion of future CVAs and/or RFIs.
- Providing administrative support to project delivery teams, the E&A Quality Team, the E&A Central Project Management team, and other teams across the practice.
- Overseeing assigned initiatives, processes, and systems to improve our overall way of working, drive excellence, and improve efficiency.
- Oversee the administrative and support systems across E&A, serving as a point person for queries, concerns, or feedback.
- Assisting the wider Operations team in delivering other initiatives and business support, where needed
Experience, Skills, and Qualifications
- Excellent written and verbal communication skills, with a fluency in English
- Experience working with or a willingness to learn new technical processes and to work with emerging AI tools
- Eagerness to learn more about both internal and client-facing service offerings at OPEN Health.
- Comfortable working on fast-paced, deadline driven initiatives.
- Excellent organizational skills with strong attention to detail.
- Ability to keep multiple projects moving forward at once, with an ability to reprioritize often if needed.
- Ability to work independently and as part of a team
- Confident and proactive, particularly when working with senior staff
- Proficient in standard MS365 software, including Word, Excel, PowerPoint, Outlook, SharePoint, and Teams
