Meeting Planner, Meetings & Events

 

Role Overview

The Meeting Planner manages standard to moderately complex meetings and congresses and supports Senior Planners on large programs. This role owns logistics, vendor coordination, attendee management, and day‑to‑day client interactions


Key Responsibilities

  • Client point of contact for all project vendors
  • Plan and execute meetings with oversight as needed.
  • Build Cvent registration sites, emails, and basic reports.
  • Manage attendees, room blocks, timelines, and deliverables.
  • Manage Audio Visual
  • Manage Food and Beverage; Menu design, BEOs, monitoring budget and compliance requirements
  • Assist in scheduling Executive Encounters
  • May be expected to lead client calls with project updates such as timelines, budgets, etc
  • Support pharma compliance documentation and on-site processes.

Candidate Profile – (Skills, Competencies and Experience)

  • 2–4 years planning experience; Cvent experience required.

 

Travel Requirements 

  • Travel will be required for approximately 50% of the year, which may be outside of normal business hours and days
