Supports CEO, CFO, CCO, & Divisional President 

Job Summary

Our Executive Assistants provide high-level administrative support to four key members of our executive leadership team. This individual is a proactive problem solver, skilled communicator, and trusted partner, able to anticipate needs, manage complex schedules, and maintain strict confidentiality.

In this fast-paced and dynamic environment, the EA plays a crucial role in enhancing the productivity and efficiency of our senior leaders, acting as a key liaison between executive leadership and internal/external stakeholders and board members.

Essential Duties & Responsibilities

  • Managing complex calendars, prioritizing, and coordinating internal and external meetings within a global organization
  • Managing travel, accommodation, and detailed itineraries for global and domestic travel
  • Preparing and editing correspondence, reports, presentations, and meeting materials
  • Tracking and follow-up on key action items and deadlines, ensuring nothing falls through the cracks
  • Serving as a liaison between executives and internal/external stakeholders
  • Planning onsite/off-site SLT meetings
  • Assisting team members with tracking expenses, reports, and approvals, and processing them through various internal systems.
  • Handling confidential information with discretion and sound judgment
  • Provide backup support to additional executive team members when needed
  • Work in collaboration with other EAs to support the OH executive team globally

Experience, Skills, and Qualifications

  • 5-7+ years of experience in an Executive Assistant or senior administrative role, supporting C-suite executives
  • Experience in a fast-paced, medical communications or consultancy agency is   preferred
  • Experience with private equity preferred
  • Experience with mergers and acquisitions preferred
  • Excellent verbal and written communication skills
  • Highly organized with a strong attention to detail
  • Ability to multi-task and work with and for diverse people with varying leadership styles
  • Proficiency in time and project management; able to manage multiple priorities with speed and know how to prioritize tasks
  • Tech-savvy and proficient in Microsoft Office Suite, Outlook, Teams, experience with SharePoint, or similar tools is a plus
  • Preferred experience with Success Factors, Paylocity, Fabric, and by Design
  • Professional presence and the ability to build trust at all levels across the organization
  • Ability to work independently, prioritize effectively, and manage multiple responsibilities
  • Proactive, solutions-oriented nature

Travel Requirements

5-10% potential domestic travel
