Location: Remote US

 

Role Overview

Associate Project Managers own the timely, quality delivery of a portfolio of promotional medical education projects, working directly with project coordinators and Project/Account Directors. They take an active role from inception through completion — building plans, coordinating resources, and troubleshooting alongside their teams — while building and maintaining strong working relationships with internal teams, vendors, clients, and healthcare professionals (HCPs).

Success in this role requires experience in the promotional medical education agency space, specifically HCP-focused content development, advisory boards, speaker training meetings, and KOL executive encounters.

 


Key Responsibilities

 

  • Own a portfolio of 6–8 concurrent projects (volume depends on scope), driving each from inception through delivery
  • Develop project plans, timelines, and budgets in conjunction with the project coordinator, and drive projects to timely, quality delivery
  • Support assigned teams on project scope and stay proactive with client needs, escalating to the Project/Account Director to ensure client satisfaction
  • Coordinate with account management, scientific, editorial, graphics, and vendor teams to ensure appropriate support and communication, including:
    • Building and maintaining long- and short-term plans, setting milestone targets, and adhering to deadlines
    • Delegating and tracking project tasks to the team members best positioned to complete them
    • Serving as point of contact across teams when shared services are in play, keeping actions in synergy
    • Performing quality control throughout development and execution to maintain expected standards
    • Adjusting schedules and targets as project needs or financing change
    • Developing and maintaining timelines and status reports for internal and client use
    • Identifying connections across projects/deliverables and recommending efficiencies
  • Ensure delivery relative to timelines, budget, and overall account profitability; independently reconcile projects and quality-check financial tracking completed by the coordinator
  • Partner with the Project/Account Director on hiring, and on training and developing coordinators on a routine basis
  • Take on other duties as assigned in support of the account/project — which may include literature searches, meeting agenda development, and review of meeting recaps

 

 


Candidate Profile – (Skills, Competencies and Experience)

 

  • Bachelor’s degree
  • 2–3 years of experience in a medical communications or promotional medical education agency
  • Comprehensive knowledge of HCP promotional education project types, particularly peer-to-peer, content-focused initiatives
  • Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams); Smartsheet and/or SharePoint a plus
  • Adept problem-solving and decision-making skills
  • Exceptional time management skills with the ability to manage multiple deadlines
  • Excellent organizational and multi-tasking skills with strong attention to detail
  • Strong communication and interpersonal skills, able to build and maintain relationships across a variety of stakeholders and personalities
  • Detail-oriented, articulate, creative, and optimistic approach when engaging with all stakeholders
  • Clear understanding of evolving medical education policies, procedures, and guidelines, including FDA, AMA, and PhRMA Guidelines and applicable State Regulations

 

 

Travel Requirements

  • Ability to travel and meet with clients as needed to maintain effective relationships
  • This is a full-time position with the potential for up to 10% travel by airplane
