Assistant Account Manager | Patient Engagement

Job Summary

The Assistant Account Manager (AAM) supports the Account team on day-to-day business operations and deliverables. This includes setting up internal and external meetings for assigned brands, conducting status meetings, project workflow, quality control and management of Medical, Legal and Regulatory (MLR) processes as needed.

Essential Duties & Responsibilities

Account Support

  • Supports activities related to all programs and projects on assigned client account(s). This includes planning meetings, status meetings, partner agency coordination, workflow, timeline oversight, and management of MLR processes
  • Proactively flags and helps problem-solve issues that may arise associated with client needs, workflow, budget, timeline, change of scope, etc.
  • Keeps all meeting minutes, trackers and reports up to date for internal usage and provides client updates related to ongoing projects and deliverables
  • Demonstrates in-depth knowledge of each client account including brand, therapy area and overall scope
  • Works with clients and provides updates related to ongoing projects and deliverables

Tactics and Execution

  • Prioritizes workflow to ensure timely delivery of all projects, ensuring the necessary skillsets required for each brief are fully considered
  • Supports with briefing and ensures all briefs are ready on time and high quality
  • Reviews tactics and provide clear and concise feedback to ensure all deliverables effectively meet briefs

Cross-functional Collaboration

  • Fosters integration, collaboration, and teamwork among team members
  • Manages the booking of freelancers and external agencies, maintains excellent relationships and keeps up to date with availabilities

 

Business Development

  • Demonstrates a clear understanding of the new business process and supports new business teams with administrative tasks 
  • Develops ideas for organic growth of accounts

Financial Oversight

  • Attends finance calls and provides accurate overview of project finances
  • Develops financial paperwork such as invoices and estimates
  • Manages client financial trackers and shares tracking status with senior account management on the client team, proactively indicates potential risk to over-servicing and out of scopes

Experience, Skills, and Qualifications

  • Bachelor's degree in business, marketing, communications, biology, life sciences, or related field
  • Significant experience in professional client relationship management, background in biopharmaceutical patient marketing (client or agency side) a plus
  • Ability to organize, plan, and prioritize work in a fast-paced work environment, and to achieve goals in a timely fashion
  • Excellent organizational skills, multi-tasking skills and keen attention to detail
  • Excellent written and oral communication skills and desire to deliver high-quality work
  • Superior interpersonal and customer service skills
  • Proficient in MS365 including Word, Excel, Power Point, Outlook, and Teams; knowledge of Veeva a plus
  • Ability to make clear, concise decisions and solve complex problems.
  • Strength in fostering and maintaining productive, successful working partnerships with clients (at all levels) as well as the internal OPEN Health  team
  • Excellent listening and presentation abilities
